Job Title:                                Project Support Assistant

Location:                                Slough, Berkshire

Hours of Work:                     40 hours per week (8.30am – 5.30pm)

 

Overall Purpose:       

The Project Support Assistant will be part of a team overall reporting to the Support Manger. The key role will be to support the Directors the Senior Project Manager and the project team in the full range of their duties by performing all administrative functions. The Project Support Assistant will require the ability to successfully balance assignments and a variety of tasks from multiple individuals and require independent judgment to plan, prioritise and organise workload.

 

 

Specific Duties:

  • Provide administration, bid and project management support to Senior Directors, Project Directors and the project team.
  • Assisting with the preparation of Proposals, Presentations, Pre-Qualifications, Invitation to Tender responses, preparation of Bid, Contracts, Reports and Letters etc.
  • Devising and maintaining office systems including data management.
  • Raising Purchase orders.
  • Taking and Preparation of Meeting Minutes.
  • Proof reading proposals.
  • Organising overseas travel and accommodation arrangements, including processing visa and passport applications.
  • Supporting and covering absence of PA to Chairman.
  • Monitoring and distributing the emails and track tasks once allocated to the project team.
  • Liaising between the Company and Clients as well as
  • Research information
  • Using software packages, i.e. Microsoft Office.
  • Telephone and Reception support as required.
  • Meet and greet staff from the UK and overseas
  • Liaise with overseas offices
  • Operate and maintain a shared filing system including hard copies.
  • Other reasonable ad hoc duties as and when required

Person Specification:

  • Advanced solid confidence in IT skills including: Microsoft Word, Excel, Outlook, PowerPoint, Visio, Adobe Pro etc.
  • Accurate fast typing,
  • Possess very good attention to detail.
  • Mature and Professional manner.
  • Exceptional written and oral communication skills.
  • Discretion and an understanding of confidentiality issues.
  • Ability to work on own initiative and under pressure
  • Be highly proactive with a very positive attitude.
  • Be willing to work flexibly and out of normal working hours if required.
